Privacy policy
This policy explains what personal information Assessco handles, why, who we share it with, and what rights you have. It covers both the people who buy our software and the claimants whose information passes through it.
1. Who this policy covers
This policy applies to Assessco Technologies Inc. ("Assessco", "we", "us") and to the Assessco platform, our website, and related services.
It covers three groups of people, who are treated differently:
- Visitors — anyone browsing our website or contacting us.
- Users — people with an Assessco account: examiners, IME company staff, referrers, and service providers.
- Claimants and other case subjects — people whose personal and health information is placed into a customer's workspace by that customer.
2. Our role: processor for workspace data, controller for our own
For information inside a customer's workspace — referrals, case records, claimant details, medical documents, and reports — the customer decides what is collected, who may see it, and how long it is kept. They are the controller; we are a service provider acting on their instructions.
For our own business information — account registrations, billing records, support conversations, and marketing enquiries — we are the controller and this policy governs directly.
3. What information we collect
Account and identity information
Name, work email, telephone, organisation, professional role, and job title. Authentication is handled by our identity provider — we do not store your password.
Case information, including health information
- Claimant identifying details and claim information
- Injury and clinical information supplied by the referrer
- Uploaded documents, commonly including medical records
- Appointment details and service needs
- Assessment reports, messages, and invoices relating to the assessment
4. How we use information
We use information to operate the platform, authenticate users, deliver notifications, process subscriptions, provide support, maintain security, and comply with law. We do not sell customer data or use case content to train models.
5. If you're a claimant attending an assessment
Your information is placed into a workspace by the IME company or examiner conducting your assessment. They decide why it is collected and who may access it. Contact them first for questions about your file or report.
If you use a scheduling or tracking link, we process only what is needed for that interaction. Links expire and do not expose other cases or documents.
6. Who we share information with
Within a case workflow, information is visible only to the parties who need it — referrer, examiner, coordinator, service provider, or claimant — according to the customer's instructions and our access controls.
We use infrastructure providers (hosting, email, payments, identity) under contracts that require them to protect information and use it only to provide services to us.
7. Where information is stored
Operational data is stored in encrypted databases and object storage. Confirm your hosting region and any data residency commitments with us during procurement.
8. How long we keep information
Customers control retention of case data in their workspace. We retain account and billing records as needed for the subscription and legal obligations. You may export your data at any time.
9. How we protect information
Tenant isolation, encrypted storage, short-lived document URLs, role-based access, audit logging, and signed expiring links for claimants and referrers. See the Security page for detail.
10. Your rights
Depending on your jurisdiction, you may have rights to access, correct, delete, or export personal information. Contact privacy@assessco.com. If your file sits in a customer's workspace, tell us which one so we can route the request.
11. Cookies and similar technologies
We use essential cookies for authentication and session management. Analytics cookies, if used, will be described here once confirmed with your counsel.
12. Children
The platform is not directed at children under 18. Claimant information about minors is processed only as part of a professional assessment arranged by a referrer.
13. Changes to this policy
We may update this policy from time to time. We will post the revised version with an updated date and, for material changes, notify account holders by email.
